Stock take session


The stock take session allows employees to count products through three counting cycles to ensure inventory accuracy. The system compares counted quantities in each cycle and identifies variance products when stock differences are found, helping businesses reduce inventory errors and maintain accurate stock records efficiently.




  • Customer Name displays the selected customer for the stock take process.
  • Stock Take Type shows whether the stock take is Product Wise or Location Wise.
  • Status displays the current progress of the stock take session.
  • Completed Date Time shows the stock take completion date and time.
  • Stock Take For displays whether the stock take includes All Products or Selected Products.
    • The stock take module contains two tabs: Dashboard and Stock for managing stock take activities and product counting details.
    • In Dashboard.
      • In the selected cycle, the system displays users, total time spent, and completed stock take sessions details. 
      • User Count displays how many users participated and worked on the stock take counting process. 
      • Total Time Spend displays the overall time spent by users during the stock take counting session. 
      • Session displays the total number of stock take counting sessions completed by users during the selected cycle. 
      • In the selected cycle, four sections are displayed: Quantity, Product, Location, and Variance for detailed stock take analysis and counting information.
      • Quantity Chart displays the total quantity, completed quantity, and pending quantity for the selected stock take counting cycle. 
      • Product Chart displays the total products, completed products, and pending products in the selected stock take counting cycle.
      • Location Chart displays the total locations, completed locations, and pending locations in the selected stock take counting cycle. 
      • Variance section displays stock take differences during each cycle, showing Extra Variance and Missing Variance. Extra Variance represents products counted more than system stock, while Missing Variance represents products counted less than expected, helping identify stock mismatches and improve inventory accuracy during the stock counting process.


     Cycle Counting



    • When entering the stock take detail page, Cycle 1 starts by default and the “Mark Cycle 1 Completed” button is displayed.
    • Click on “Mark Cycle 1 Completed” to complete Cycle 1 and display “Start Cycle 2” and “Mark As Completed” buttons.
    • Click on “Start Cycle 2” to begin Cycle 2 stock counting and display the “Mark Cycle 2 Completed” button.
    • Click on “Mark Cycle 2 Completed” to complete Cycle 2 and display “Start Cycle 3” and “Mark As Completed” buttons.
    • Click on “Start Cycle 3” to begin Cycle 3 stock counting and display the “Mark Cycle 3 Completed” button.
    • Click on “Mark Cycle 3 Completed” to complete the final counting cycle and finish the stock take session successfully.



       Stock Tab



      • Stock Take displays detailed product stock information for accurate inventory counting and variance tracking.
      • Product name and Product Code display name of product.
      •  Location field displays the product storage location details.
      • Expiry Date displays the product expiry date information.
      • Batch field displays the product batch number details.
      • Current Qty displays the available system stock quantity before counting.
      • Cycle 1 Qty displays the counted quantity entered during Cycle 1.
      • Cycle 1 Variance displays the quantity difference between system stock and Cycle 1 count.
      • Cycle 2 Qty displays the counted quantity entered during Cycle 2.
      • Cycle 2 Variance displays the quantity difference between system stock and Cycle 2 count.
      • Cycle 3 Qty displays the counted quantity entered during Cycle 3.
      • Cycle 3 Variance displays the quantity difference between system stock and Cycle 3 count.



         Filter Product 


        • Using the Search option, users can find products quickly by searching with product name or location name.
        • Show All option displays all products available in the stock take list.
        • Show Variance option displays only products with variance values not equal to 0 during stock counting.


         Export Stock 


        • Click on Export Stock to generate and download a CSV file containing the current stock details, including product quantities, locations, batches, and stock counting information from the stock take session
